Fees

Fees are charged on a ‘per term’ basis, and will be issued via email in either Week 2 or 3 of each term, and must be paid according to the date of required payment stated on your invoice.

Fees can be paid by internet banking OR via credit card (instructions can be found on your invoice).

Bank account details: Head Held High Ltd, ANZ: 01-0274-0419992-00.

When paying by internet banking, please include the student’s full name in the particulars field and the invoice number in the reference field.

We offer a 10% discount on your fees when there is more than two students in your family scheduled for HHH lessons. If you are entitled to the discount your invoice will reflect it.

A late payment fee of $25 will be charged to overdue invoices and if necessary lessons may be suspended or cancelled by us and costs of recovery of any overdue amount charged to you.

Policies & procedures

1.1 Enrolments for classes are rolled over each term unless notice of withdrawal is given prior to the beginning of the new term.

1.2 All tuition fees are non-refundable except in the event that classes are cancelled or exceptional circumstances (eg. bereavement or serious illness). We will always endeavour to arrange catch-up classes in the circumstances that we are not able to provide the number of classes mentioned below (1.3). Part-term withdrawals are not refunded, unless under exceptional circumstances (eg. bereavement or serious illness).

1.3 Fees are based on the understanding that a minimum number of 8 weeks of lessons are guaranteed per term. All public holidays have been accounted for in our fees structure and curriculum. No catch-up classes will be scheduled in these circumstances. Note: There is no extra charge to you in circumstances where your child receives a 9 or 10 Week term.

1.4 Invoices will be sent in Week 2 or 3 of each term, and must be paid according to the date of required payment stated on your invoice. Late fees will incur a $25 penalty. Failure to pay your fees on time may result in the loss of the enrolment position.

1.5 If your child’s teacher is away, we will arrange a relief teacher for that class. If that isn’t able to be arranged, a make-up lesson will be organised if the missed lesson means your child will not receive 8 lessons for the term (as per 1.3 above).

1.6 Fees left unpaid at the end of each term may be put in the hands of a debt collector and you will be liable for any additional costs associated with collection and recovery.

Marketing considerations

2.1 Head Held High occasionally posts images or video taken from lessons on our social channels and/or website. We keep records in our CRM of all students who their parents do not wish to feature in any of this activity, as indicated by their answer to the question on our enrolment form: “Are you OK with your child’s image being used in HHH marketing material?”

2.2 Head Held High occasionally sends SMS notifications to students’ parents regarding things like trial lesson reminders, last-minute changes to lesson times etc. By enrolling, you opt-in to this SMS service, however we keep records in our CRM of all families who choose to opt out of this service. 

After school lessons

The health and wellbeing of our students is something we take very seriously, we understand that we have a duty of care to ensure students are safe before and after their lesson. We have the following processes set up regarding this.

Attendance
It is imperative that parents text their child’s HHH teacher if their child is going to be late or absent. If the teacher has not heard from you and your child does not turn up to their lesson, you will receive a text informing you of this.


Drop off and pick up zones
At each after school venue we have identified drop off and pick up zones (safe zones). Please ask your child’s HHH teacher where this is. Usually it is the classroom we teach in or just outside the classroom.

Students are to go to the safe zone before and after the lesson. If the person that they expect to collect them after their lesson is not there then they are to wait in the safe zone.

Our teachers have waiting chairs set up in all lessons for students to come and sit on while they wait. If it is the last lesson of the day teachers will wait until all students are safely collected.


Getting to and from lessons
If you are sorting your own arrangements and will not be personally dropping off and picking up your child, then you need to please inform us of these arrangements so we have them on our records. For example, if your child is going to walk back to after school care or walk home after their lesson, then we need to be made aware of this.


Acknowledgment of risk

By enrolling your child in Head Held High lessons you understand that there are risks associated with involvement in after-school events and that these risks cannot be completely eliminated. You understand that we will identify any foreseeable risks or hazards and implement correct management procedures to eliminate or minimise those hazards.

We are always available at Head Held High to answer questions about our lessons. Enrolment in our lessons means you recognise that participation in Head Held High lessons is voluntary and that your child understands that they may withdraw from any activities during Head Held High lessons if they ever feel unsafe, and can do so by talking with their teacher.

You understand that Head Held High does not accept responsibility for loss or damage to personal property and that it is your responsibility to check your own insurance policy.

Cancellation policy

3.1 When a student stops lessons part way through a term, no refund is made available, due to the provision which has been made for teaching hours and venue rental for the remainder of the term.

3.2 Students who have left HHH lessons part way through the school term and wish to return the following term will need to re-enrol, and places in a class will be allocated as space allows.

3.3 In cases of illness or injury of/to a student, one make up class per term can be arranged. All make up classes must be within the same term and only in classes where positions are available, and subject to teacher approval.

3.4 Refunds are not given for students who are absent from class due to illness, injury or personal circumstances unless students are absent for more than 3 consecutive weeks and the Head Held High office has been informed at the time. Refunds and make-up lessons are not given for students who are absent for holidays.

Holiday programmes

Please note all holiday programmes are subject to sufficient enrolments being received. Places will be allocated in the order they are received. Enrolment will be confirmed once payment has been received.

We understand that plans can change unexpectedly, and in such cases, we endeavor to be as flexible as possible. However, we kindly request that participants who need to withdraw from our speech and drama holiday programme do so at least 24 hours before the first day of the programme to be considered for a refund. Please note that once the programme has started for the week, no refunds will be provided for days missed due to sickness or any reason that is not the cause of Head Held High.

 

We apologize for any inconvenience this may cause, but please understand that we carry expenses for our teachers and rental of premises. We appreciate your understanding and support for our programme.
